Travel to Office expectations

For Remote Roles: If this role is remote, there will be in-office events that will require travel to and from the Mississauga and/or Salt Lake City office. These will include, but not limited to, onboarding, team events, semi-annual and annual team meetings.

For Hybrid Roles: If this role is Hybrid, there will be an expectation to reside within commutable distance to the office/location specified in the job listing. This will include, but not limited to, weekly/bi-weekly/monthly events in the office with your specific team. This is a requirement for this role.

Position Summary:

Provide essential administrative, operational, and analytical support across the contract lifecycle by ensuring that all agreements are thoroughly reviewed for accuracy, completeness, and compliance prior to submission for approval and execution. This role is responsible for the precise entry, maintenance, tracking, and analysis of contractual data within the contract lifecycle management (CLM) software and customer relationship management (CRM) platform, as well as for supporting validation, reporting, and structured analysis of contractual terms across existing agreements. The position plays a key role in maintaining data integrity, enhancing visibility into contractual obligations, and ensuring alignment with organizational policies and Legal Department standards.

The successful candidate will be intellectually curious, detail oriented, disciplined, and collaborative, with a demonstrated ability to work independently, manage competing priorities, and deliver accurate results in a fast-paced, high-volume environment. A proactive mindset, strong analytical capabilities, comfort with technology, AI fluency, and a commitment to continuous improvement are essential to driving accuracy, accountability, and measurable results. The ideal candidate is a quick learner who is motivated to understand the business, improve processes, leverage technology and AI responsibly, and consistently execute with urgency, precision, and sound judgment.

Key Responsibilities:

Contract Review and Quality Control: Conduct thorough reviews of contract documents to ensure accuracy, completeness, and compliance with Legal Department standards prior to obtaining signatures. Apply sound judgment to identify issues, inconsistencies, missing information, and deviations from approved templates, playbooks, policies, or process requirements.

Capacity Management and Precision: Proven ability to sustained, high-volume contract review workloads without compromising accuracy, data integrity, or review quality. Maintain focus, discipline, and consistency while managing multiple contracts, urgent requests, and competing priorities simultaneously.

Data Entry and Record Management: Accurately input contract details into the contract lifecycle management (CLM) and Customer Relationship Management (CRM) platforms, ensuring all relevant data fields are complete, accurate, and properly categorized. Demonstrate strong ownership of data quality, including the ability to identify gaps, correct errors, and escalate issues promptly.

Database Maintenance and Updates: Maintain and update the CLM database, ensuring all information is current and aligned with executed agreements. Support ongoing improvements to contract intake, tracking, metadata standards, workflow efficiency, and reporting accuracy.

Validation and Reporting of Contractual Data: Regularly validate key information within existing agreements, generating reports and analyzing data to support organizational objectives and ensure data consistency. Use CLM, CRM, reporting tools, spreadsheets, and AI-enabled tools, where appropriate and approved, to support faster review, structured analysis, trend identification, and operational insights.

Identify and Flag Discrepancies: Detect and report discrepancies, incomplete information, or other issues within contracts to the relevant team members for resolution. Exercise curiosity and persistence in resolving inconsistencies, understanding root causes, and helping prevent recurring errors.

Collaboration with Legal and Compliance Teams: Work closely with legal, compliance, and other relevant teams to clarify contract terms, resolve issues, and ensure alignment with regulatory and policy requirements. Communicate clearly, professionally, and with appropriate urgency when coordinating across teams.

Documentation and Record-Keeping: Maintain organized records of all reviewed contracts, amendments, and correspondence, supporting an accessible and well-maintained archive of contract documentation
